How to Validate an RIS File Before Importing It into Zotero

Check RIS record boundaries, repeated fields, publication years, DOI values, and import warnings before adding a file to a reference library.

Why line-by-line parsing breaks RIS files

RIS is a tagged format, not a list where each newline starts a new reference. A record normally begins with a type tag such as TY and ends with ER. Authors, keywords, abstracts, and other fields may span multiple lines.

If an importer splits on blank lines or treats every line as an independent reference, years, authors, and titles can be assigned to the wrong record or silently discarded.

What to inspect before import

Validate the record boundaries first. Then inspect common tags such as TI for title, AU for author, PY for publication year, JO or JF for journal, VL for volume, IS for issue, SP and EP for pages, DO for DOI, and UR for URL.

The exact tag set varies by exporting database. Unknown vendor tags should be surfaced as warnings rather than causing an otherwise valid record to fail.

  • Every record has a recognizable TY start and ER end.
  • Repeated AU, KW, and AB fields remain attached to the same record.
  • PY values are preserved and normalized as years.
  • DOI and URL values are normalized without losing the original value.
  • Malformed or incomplete records are reported before verification starts.

Preview before reserving verification capacity

A useful import preview shows record count, titles, authors, years, identifiers, and warnings. This lets a researcher fix an export or choose which records need provider-backed verification before starting a batch job.

Keep parsing and verification separate. A syntactically valid RIS record can still identify the wrong work, and a record with no DOI can still be valid.
